If you create assemblies in QuickBooks Enterprise, you may find the “Where Used” feature very useful. This feature allows you to right-click on any individual part in the Build of Materials and remove or replace the item in assemblies.

How This Works

Let’s say you have one part that is used in several assemblies. Your supplier discontinues the part, or you decide to simply replace it with another. If you have several dozen or even several hundred assemblies, this can be very time-consuming.

Inactivating a part does not remove it from a Build of Materials List. QuickBooks will continue to use the Part in a Build! The Where Used Feature can however, actually remove or replace the part from a build!

How can you find all the assemblies where a specific item is used?

As an example, we have a component part named “door frame.” We want to find all of the assemblies where this item is used.

Select Lists > Item List
Search for the component item
Right-Click on the component part

Once you select the Where Used (in Assemblies) option, you should see the following:

This will show all the assemblies where this item is used. You can select one or more of the items. There is a “Select All” option at the bottom left.

Removing the Component Item from Assemblies

If you will no longer use the item and are not replacing it with another, you can simply leave the “Replacement Item” field blank. It will remove this item from the assemblies you have selected.

Replacing the Component Item

This window also gives you the ability to replace the item with another in all the assemblies you have selected. It can be a great time saver. In some cases, with supply chain issues, you may need to swap out items on a regular basis. This can save time, and you can be sure you found all the assemblies that need to be adjusted.
